
Restoration Photo Documentation: How to Capture a Complete Visual Job Record

Most scope problems don't start when someone disputes an invoice. They start on site, when critical details aren't documented.
A damaged wall isn't photographed clearly. The close-up doesn't show where the damage is in the room. An important observation never makes it into the file. Weeks later, the estimator or adjuster is trying to reconstruct the loss from disconnected photos.
Good restoration photo documentation solves that problem by creating a visual record while the evidence is still in front of the crew. The goal isn't to take hundreds of photos. It's to capture the right views, add the right context, and keep everything connected to the job.
1. Start the Visual Record Before You Enter the Property
Before focusing on the damage, establish where the job happened and when the documentation began.
Start with an exterior photo of the property. In magicplan, technicians can also enable a date-and-time overlay so the image carries that context directly in the visual record.
That first image gives anyone reviewing the project a clear starting point before they move into individual rooms and affected areas.
This matters because restoration conditions change quickly. Once mitigation starts, materials are removed, water dries, equipment moves, and the original condition becomes harder to reconstruct. 2. Use the 3-Photo Method for Water Damage
One close-up of wet drywall doesn't tell the whole story.
For each important area, capture the damage at three distances:
Overview: Step back and photograph the room or larger affected area.
Mid-range: Move closer so the damage is visible while surrounding features still provide location context.
Close-up: Capture the material condition in enough detail to show staining, separation, mold-like growth, or other visible damage.

The estimator shouldn't have to ask, "Where in the room was this photo taken?" The photo sequence should answer that question on its own.

3. Mark Up Photos So Nobody Has to Guess
Sometimes the damage is obvious to the technician standing three feet away and much less obvious to the person reviewing the file later.
That's where annotations help.
Highlight the affected section, add an arrow to a specific condition, or otherwise direct attention to the detail that matters. magicplan allows technicians to add these annotations directly to photos attached to the project.
This is especially useful for subtle staining, small openings, suspected points of origin, or conditions that could easily be missed in a busy image.
Before sharing the documentation, also check for information that doesn't belong in the report. Faces and other sensitive details can be redacted or blurred while keeping the relevant damage visible.
4. Add Video When Photos Don't Tell the Whole Story
Some conditions are easier to understand when you can move through the room.
A short walkthrough video can show how different affected areas relate to one another, capture the overall condition of the space, and let the technician explain what they're seeing while they're still on site.
For example, a bathroom walkthrough might begin with an overview, move closer to visible wall damage, point out possible floor damage, and finish by showing the rest of the room. Videos can then be saved directly to the project and given a clear caption such as "Bathroom overview."
The narration doesn't need to be polished. It needs to preserve useful field context.
That's often more valuable than asking the technician to remember the same details days later when the office calls.
5. Use 360° Images to Preserve the Entire Room
Standard photos show selected views. A 360° image gives the reviewer the ability to look around the room.
Using a compatible 360° camera, technicians can capture a panorama directly from the project, review it, zoom into details, add annotations, and redact sensitive information before saving it.
That additional spatial context can be particularly valuable when the room will change significantly during mitigation.
Instead of wondering what was outside the frame, the estimator, project manager, customer, or other reviewer can look from ceiling to floor and revisit the space virtually. Multiple panoramas can also be combined and published as an interactive 360° tour.
360° documentation shouldn't replace detailed photos. It complements them. Standard images show the exact condition you want to highlight, while the panorama preserves the room around it.
6. Keep Every Visual Attached to the Job
Taking good photos is only half the job.
If they're buried in a technician's camera roll, sent through text messages, or stored separately from videos and panoramas, the office still has to reconstruct the story.
Instead, keep the exterior photo, damage photos, annotations, videos, and 360° images together in the project.
That creates one visual job record instead of several disconnected collections of evidence.
For the technician, it means documentation can be completed while the conditions are still fresh. For the estimator, it means less time asking where a photo came from or what it shows. And for the owner, it creates a more repeatable standard across the company.
7. Turn Field Documentation Into Something People Can Actually Review
The final step is getting the documentation out of the project in a useful format.
